Core Responsibilities:

  1. Efficient Administrative Support:
    • Coordinate schedules, set up appointments, and manage meetings to ensure smooth time management for the team.
    • Organize digital files and records with precision, ensuring easy access when needed.
    • Monitor and manage email communications, answering inquiries and sorting through urgent requests.
    • Create and compile reports, presentations, and other documents as required.
  2. Client and Customer Engagement:
    • Act as the main point of contact for customers, ensuring a seamless, friendly, and professional experience.
    • Handle client inquiries, manage bookings, and maintain ongoing communication.
    • Address customer concerns and resolve any issues promptly and professionally.
  3. Task Coordination and Management:
    • Support various projects by maintaining task lists, tracking progress, and ensuring timely completion.
    • Assist with research and data compilation, offering critical insights for decision-making.
    • Organize travel plans and logistics for team members when necessary.
  4. Social Media and Marketing Assistance:
    • Aid in managing and updating social media profiles, creating posts, engaging with the audience, and reviewing performance metrics.
    • Help plan, organize, and schedule email campaigns to communicate effectively with clients and followers.
  5. Additional Support:
    • Step in as needed for a variety of office-related functions, including invoicing, supply management, and HR tasks.

Requirements

Ideal Candidate Profile:

  • Experience:
    • A background in virtual assistance or administrative roles with a customer service focus.
  • Skills:
    • Exceptional written and verbal communication.
    • Strong organizational abilities with an excellent attention to detail.
    • Proficient in office productivity software (Microsoft Office, Google Workspace) and project management platforms (Trello, Asana).
    • Quick to adapt to new tools and systems as required.
    • Ability to balance multiple tasks and meet deadlines.
  • Tech Savvy:
    • Access to a reliable internet connection and up-to-date equipment (computer, phone).
    • Comfortable with virtual communication tools like Zoom, Slack, or Teams.

Required Qualifications:

  • A high school diploma or equivalent (a college background or certifications in relevant areas are a plus).
  • Minimum of two years of experience in a similar administrative role.
  • Strong grasp of basic office practices and customer service best practices.
  • Experience with social media platforms and digital marketing strategies is a bonus.
