Position Summary:
The Venues & Bookings Team Member is a remote position that will be assisting our Venue Department seasonally between the months of January and May (roughly 25 hours/week). This role is responsible for sourcing and securing venues, as well as helping manage venue-related logistics to ensure seamless execution of company events. This role involves scheduling/booking events, reviewing on-site requirements, and partaking in venue communications to guarantee that each event space meets operational, production related, and client facing needs. The Venues & Bookings Team Member also supports long-term planning by researching potential new markets and cities. Please note that, although this is a seasonal role, there is always the opportunity for this to grow into a full-time role if the company ever has the need for additional full-time roles in the future. This role will report directly to our Venue Booking and Logistics Manager and will also work closely with our Venue Department Team.
Key Responsibilities:
- Research, identify, and secure venues that meet the company’s event requirements by communicating with different venue prospects across the nation
- Assist in rebooking our current venues for future seasons and events
- Coordinate event logistics with potential venues, including space usage, venue specs, load-in/load-out times, staff hours and more
- Research venue details (floorplans, audio/visual requirements, room dimensions, date availability) and restrictions (e.g., food policies)
- Research additional venue services as needed, such as pipe and drape, power, internet, security, EMS, or fire marshal coverage
- Create new venues/events within our registration platform
- Assist with maintaining venue relationships, including sending thank-you notes post event
- Support the venues team as needed with various tasks/special projects
Qualifications:
- Ability to work part-time, remote, Monday through Friday (roughly 25 hours)
- Experience in event coordination, venue management, or bookings preferred
- Ability to manage multiple tasks, details, logistics and deadlines simultaneously
- Strong written and verbal communication skills as well as relationship building
- Familiarity with event logistics, contracts and vendor coordination
- Strong organizational and negotiation skills with attention to detail
- Proficiency in Microsoft Suite (Excel, Outlook, Word)
- Experience with Asana or other project management tools is a plus
