Role Overview
We're looking for a proactive, detail-oriented Vendor Specialist to join our team and help lead our Vendor Management team across a wide range of projects in a fun, fast-paced environment. This is a rare opportunity to join a start-up with a mission that uplifts!
You'll drive initiatives, set priorities, and build systems that help Villa scale. You'll also roll up your sleeves, jumping into bid coordination, case management, and vendor communications when the team needs support.
This is a full-time remote role that reports to the Head of Vendor Management and requires travel up to 20% to vendor locations and project sites.
What You'll Do- Bid coordination: pull together scope docs, gather vendor quotes, compile bid packages
- Vendor communications: pricing requests, scope clarifications, schedule confirmations, follow-ups
- Case queue work: pick up cases, respond to requests, chase down stalled items
- Compliance admin: pull insurance certs, verify licenses, update tracking sheets, send renewal reminders
- Vendor onboarding execution: send contracts, enroll in wrap insurance, set up portal access, train vendors
- Own the vendor lifecycle strategy: onboarding, compliance, performance management, and network expansion.
- Lead vendor compliance programs: license verification, insurance tracking, and safety documentation.
- Drive vendor performance management: define KPIs, build scorecards, and lead conversations with underperforming vendors. Lead annual pricing coordination: manage updates across the vendor network, analyze competitiveness, and recommend changes.
- Be the go-to expert on vendor operations, sought out by PMs, Supers, and leadership for advice on vendor issues.

What We Look For:- 5+ years in construction operations or vendor management
- Proven track record leading cross-functional initiatives
- Strong project management and communication skills
- Experience building processes that scale
- Experience in residential construction, modular/factory-built housing, or ADU development
- Background in vendor management, procurement, or supply chain
- Familiarity with compliance requirements in construction (licensing, insurance, safety)
- Able to work in the US without sponsorship
$103,700 - $122,000 a year
Villa is committed to providing competitive and equitable compensation. The posted range of $103,700 - $122,000 reflects the expected base pay for a California-based hire. Final compensation is determined by several factors, including the candidate's primary work location, specialized experience, and internal parity.
Total compensation for this role also includes a strategic equity package and a comprehensive benefits program featuring high-quality healthcare, retirement savings plans, and up to 16 weeks of paid parental leave.
