Senior Proposal Coordinator

You will coordinate the end-to-end RFP process, ensuring content is accurate, compliant, and compelling, while collaborating across multiple teams. You will serve as a central connector of information, supporting project managers, technical specialists, and creative teams to craft persuasive submissions. • Lead, manage, and coordinate the full RFP process, including content creation, proposal scheduling, and timely delivery to clients.
• Review proposals to ensure compliance with RFP requirements, company brand standards, and accuracy of information.
• Conduct post-submission proposal close-outs and capture lessons learned for continuous improvement.
• Collaborate with creative teams to develop supporting visuals, graphics, and presentation materials.
• Serve as a knowledge connector across teams, maintaining awareness of services and capabilities to ensure proposals are comprehensive.
• Support client interview preparation and internal stakeholder alignment.
• Work virtually with teams across functions to facilitate seamless proposal development.

• Bachelor’s degree in Marketing, Journalism, English, or a related field, or equivalent professional experience.
• 4+ years of experience in proposal management, writing, and coordination within the AEC industry.
• Strong project management and organizational skills, with the ability to manage multiple proposals under tight deadlines.
• Excellent business writing, verbal communication, and attention to detail.
• Proficiency with MS Office; familiarity with Adobe Creative Suite, SharePoint, Deltek Vantagepoint, or other proposal tools is preferred.
• Self-motivated, resourceful, and able to work independently while collaborating effectively with diverse internal teams.
• Ability to multi-task, prioritize, and maintain composure in a deadline-driven environment.
