Senior Project Manager, Publications and Medical Affairs
Job Summary
Project Managers are directly accountable for the successful oversight and delivery of publication and medical affairs projects from inception to completion with a primary focus on meeting and exceeding the goals of our clients. The project manager is responsible for assisting in the development, execution, and delivery of a variety of publication and medical affairs deliverables such as abstracts, posters, manuscripts, publication plans, scientific platforms, slide decks, advisory boards, symposia, standard response documents, and congress booth assets. The project manager should also be familiar with platforms such as Sharepoint, SAP, Salesforce, iEnvision, and Veeva Vault.
Project Managers value team collaboration, working as part of a team, and are self-starters who are adept at proactively managing projects and timelines, from start to finish.
Essential Duties & Responsibilities
Project Management:
- Proactively executing on the delivery of publication and medical affairs tactics as defined by the needs of each client account
- Trafficking all projects between accounts, medical, and support services
- Developing and managing timelines
- Facilitating material to vendors/freelancers, as needed
- Preparing congress submissions
- Facilitating finance-related tasks (budget entries, opening and closing job codes, data entry, running hours reports, communicating project scope deviations to the team, monitoring projects to ensure all team members are assigning time correctly, etc.)
- Driving financial reconciliation of project including processing of all expenses/invoices and preparation of any required documentation
Compliance, Documentation, and Operational Expectations:
- Complying with established OPEN Health and client standards, policies, and procedures
- Developing an understanding of Sharepoint, SAP, Salesforce, iEnvision and/or other client database systems, Veeva Vault, and associated client SOPs and best practices
- Managing project files and folder maintenance in Sharepoint
- Managing HCP contracting aligned to client SOPs
- Professional, timely response to all internal and external communications and ability to communicate both internally and externally (verbal and written)
- Maintaining consistent attendance and coordinate coverage when out of office
Team Management:
- Maintaining and updating status reports based on internal and client status meetings
- Leading internal status meetings resulting in establishing medical and editorial priorities
- Leading client status meetings, if required by account needs
- Setting up conference calls and virtual Teams meetings
- Serving as the internal iEnvision/database auditor for assigned teams ensuring records are accurate and compliant
- Providing training to team on client database SOPs (iEnvision, Veeva, etc)
- Preparing writer packages (i.e. references, final outline, etc.)
- Accurately populating and maintaining publication tracking system (data entry, iEnvision, etc.)
- Requesting publication templates (i.e. editorial)
- Creating and maintaining client and author contact databases (i.e. title, email, phone, etc.)
- Serving as client, author, and HCP point of contact as required by needs of project
- Exhibiting ability to transfer skills learned to new accounts/responsibilities
- Participating in internal skills development courses
- Mentoring, coaching, and delegating to Project Coordinators, as appropriate
Research Support:
- Liaising with library services to request information from Journal Selector and Conference Authority as needed
- Researching relevant journal and congress databases to update grids used by the internal and client teams for submission guidelines, deadlines, and notification dates
- Conducting research on potential authors (i.e. criteria for authorship)
- Accessing journal “Instructions for Authors” and communicating back to account lead
- Preparing “Hot Sheets” for congresses
- Coordinating reference requests and copyright permission requests with medical team and library services
Account Awareness
- Developing awareness/knowledge of client disease area, product(s), and high priority journals and congresses
- Developing knowledge of client SOPs
- Exhibiting the ability to take on additional tasks as needed while maintaining consistent performance
- Demonstrating increased awareness of publication and medical affairs concepts, work products, and standard timelines
- Demonstrating early ability to apply understanding of when certain tactical recommendations are appropriate
Experience, Skills, and Qualifications
- Bachelor’s degree in business, marketing, communications, biology, life sciences, or related field
- 2+ years of experience working at a medical communications agency or similar
- Interest in project management, general business, pharmaceutical, medical communications
- Exceptional oral and written communication skills
- Ability to manage multiple and sometimes competing challenges, issues, and priorities with the ability to delegate and set clear expectations
- Ability to work both independently and in a team structure
- Aptitude for the English language and excellent written and verbal communication skills
- Enthusiastic team player with self-motivated attitude and demeanor
- Ability to work within promised timelines and budget; reporting potential conflicts with either
- Superior communication skills (both written and verbal) and a proven ability to communicate complex scientific concepts to a variety of audiences including clients, policymakers and the external scientific community
- Proficient in MS365 including Word, Excel, PowerPoint, Outlook and Teams
- Familiarity with Sharepoint, SAP, Salesforce, Veeva Vault, and iEnvision a plus
Travel Requirements
- ≤10% potential global travel
