CX Ops supports the systems, tools and processes that help research happen seamlessly. CX Futures explores emerging opportunities through insight, foresight and storytelling. 

 

As a Research Recruiter, you sit in CX Ops. Your work enables every research study we run - making sure we find the right participants, coordinate logistics, and remove friction for researchers, clinicians and product teams. You’ll become the connective tissue between our research community and the people we learn from. 

 

Let’s talk about the Role 

The Research Recruiter is responsible for coordinating, organizing and delivering all participant-related aspects of user research. You’ll play a hands-on role supporting studies from start to finish - from kick-off and recruitment through to scheduling, consent, incentives and post-session admin. 

 

Your work ensures that research runs smoothly, ethically and efficiently, and that researchers can focus on what matters most: learning. 

 

Key Responsibilities 

Participant Recruitment & Coordination 

  • Attend study kick-offs and create recruitment plans, screeners and communication templates 

  • Manage Asana cards, Rally updates, participant lists and all study-related logistics 

  • Handle participant communication end-to-end: invitations, reminders, follow-ups and support 

  • Forecast recruitment bandwidth and help allocate studies fairly across recruiters (Ops strategy) 

 

Session Support 

  • Provide in-session monitoring or backup facilitation when needed, including participant tech set-up and troubleshooting 

  • Manage consent forms, attendance tracking and Participant Sheets (p.1, In-Session & Post-Session Support) 

  • Upload participant notes, videos and documentation to the right folders 

 

Incentive & Compliance Management 

  • Manage study incentive payments within Fair Market Value (FMV) rules 

  • Track budgets, approvals and reporting 

  • File NDAs and consent forms, ensuring everything meets Legal and Privacy requirements 

 

Panel & Database Management 

  • Assist in maintaining and grow participant panels, ensuring we have the right mix of demographics and conditions 

  • Track panel engagement, forecast usage, and support demand planning with Research Leads 

  • Keep recruitment templates, lists and SOPs updated 

Tools, Systems & Vendor Enablement 

  • Manage access to tools like Asana, Rally, SharePoint, Confluence and Jira 

  • Coordinate vendor onboarding, SOWs, POs and Accounts Payable submissions 

  • Troubleshoot tool issues and maintain documentation and FAQs 

  • Open and track myIT tickets for access and system support 

 

Metrics & Reporting 

  • Update all recruitment and session metrics 

  • Support monthly and yearly reporting across studies, budgets, and participant engagement 

  • Spot trends and advise CX Ops & Research Leads on improvements or risks

Skills and Experience 

  • Experience in research operations, participant recruiting, project coordination or similar 

  • Strong organizational and multitasking skills 

  • Familiarity with Asana, Jira, Confluence, SharePoint or similar tools 

  • Clear communication skills - written and verbal 

  • Comfort navigating Legal, Privacy and Procurement processes 

  • An interest in UX research, human behavior or health technology

Individual pay decisions are based on a variety of factors, such as the candidate’s geographic work location, relevant qualifications, work experience, and skills.  

Base Pay Range for this position: 

San Diego: $87,550 - $102,582

US-remote: $81,204 - $103,003

For remote positions located outside of the US, pay will be determined based the candidate’s geographic work location, relevant qualifications, work experience, and skills.
