Common Ground Learning is a boutique ABA practice dedicated to supporting children with developmental disabilities and behavioral challenges through compassionate, high-quality services. The Administrative Assistant plays a key role in ensuring smooth daily operations, supporting clinical staff, and maintaining clear communication with families. This part-time role offers the opportunity to grow into a full-time position as the practice expands. We are looking for someone organized, dependable, and enthusiastic about contributing to a team that makes a meaningful impact.
Answer phone calls, emails, and general inquiries from families, staff, and referral sources
Schedule and coordinate client and clinician appointments
Maintain client and staff records in compliance with HIPAA regulations
Assist with onboarding paperwork for new clients and employees
Support billing, authorizations, and insurance documentation as needed
Manage calendars, meetings, and office correspondence
Order office supplies and maintain an organized workspace
Assist with data entry, filing, and document preparation
Support the development of SOPs for a growing agency
Perform other administrative tasks as assigned

Detail-oriented, reliable, and highly organized
Ability to multitask and prioritize in a fast-paced environment
Team-oriented with a proactive attitude
Strong written and verbal communication skills
Ability to handle sensitive information with discretion
Demonstrated experience in complex scheduling and calendar management
Basic computer skills: Microsoft Word, Google Workspace, Adobe (PDF editing)
Previous administrative or office experience preferred
Experience in healthcare, education, or ABA settings is a plus
High school diploma or equivalent required
