This role plays a key part in ensuring patients receive timely access to specialty care through accurate and efficient referral coordination. The Referral Specialist is responsible for reviewing, documenting, and processing referral requests while securing necessary authorizations across multiple insurance types, including managed care, Medicaid, and Medicare. The position acts as a critical link between patients, primary care providers, and specialty offices, ensuring seamless communication and scheduling of appointments. It requires strong attention to detail, organizational skills, and the ability to manage multiple workflows in a fast-paced healthcare environment. The role involves direct interaction with patients and healthcare professionals, supporting access to care and improving overall service efficiency. This is an on-site training role with long-term remote-friendly structure depending on operational needs, requiring strong adaptability and communication skills.


Accountabilities:
  • Review, analyze, and process daily referral requests to ensure timely and accurate patient scheduling for specialty care.
  • Verify documentation completeness and obtain required insurance authorizations for managed care, Medicaid, and Medicare plans.
  • Coordinate appointment scheduling between patients and specialty offices, ensuring accurate communication of visit details.
  • Maintain accurate documentation in electronic medical records systems (such as Epic) to support referral completion.
  • Serve as a communication bridge between patients, PCP offices, specialty providers, and diagnostic locations.
  • Respond to patient inquiries, including assistance in selecting appropriate providers based on medical needs, insurance, and geography.
  • Monitor referral queues and track aging metrics to support timely access to specialty care services.
  • Maintain updated reference materials for specialty providers and serve as a knowledgeable resource for staff and patients.
  • Support same-day referral requests and resolve issues in coordination with clinical teams and supervisors.
  • Ensure adherence to departmental protocols and escalate complex or non-routine issues as needed.

Requirements

  • High school diploma or GED required.
  • 3–4 years of experience in healthcare administration, referral coordination, medical office support, or related field.
  • Strong customer service and patient interaction skills in a healthcare or clinical environment.
  • Proficiency with computer systems and electronic health records (Epic experience preferred).
  • Excellent organizational skills with the ability to manage multiple tasks and priorities.
  • Strong communication skills for interaction with patients, providers, and healthcare staff.
  • Ability to work in a fast-paced, detail-oriented environment with changing priorities.
  • Strong problem-solving skills and ability to follow established protocols.
  • Comfortable working collaboratively with internal and external healthcare stakeholders.
  • Ability to commute for initial in-person training period in Tulsa, Oklahoma.
