About Beacon AI

We’re a fast-moving team of aviators, engineers, and operators building an AI platform to make flying safer, more efficient, and more capable. Backed by top investors, we’ve secured a dozen Department of Defense contracts and partnered with major airlines to deliver mission-critical systems. We operate without silos or heavy processes. Small, focused teams own what they build, ship quickly, and learn fast, pushing the boundaries of how humans and AI work together in aviation.

We’re seeking a Recruiting Coordinator to help us deliver an exceptional candidate experience while maintaining a fast-moving hiring process that remains organized and efficient. This is a critical role in supporting the growth of our dedicated team. You’ll help review candidates, coordinate interviews, manage communication with candidates and hiring managers, and keep our hiring process running smoothly.

Our ideal candidate is an individual with an extremely high attention to detail, a strong sense of pride in the quality of their work, excellent communication skills, and, most importantly, someone who understands the rapid pace of startups. Last but not least, we hope this individual will want to grow with Beacon AI!

What You’ll Do

  • Coordinate interviews across time zones and ensure a smooth candidate experience

  • Manage candidate communications, scheduling, and logistics

  • Maintain accurate records in our Ashby applicant tracking system (ATS)

  • Partner with recruiters and hiring managers to identify process improvements

  • Help manage recruiting operations projects (e.g., job descriptions, templates, metrics, reporting)

  • Ensure all candidates have a positive and timely experience from first touch to close

  • Greet candidates upon arrival, prepare meeting rooms before candidate onsite interviews

  • Be a Brand Ambassador of Beacon at recruiting events to give a glimpse into the awesome culture that candidates look forward to joining

  • Assist with data hygiene and integrity by verifying documents, data, and other details related to the hiring process

What You Bring

  • 1-2+ years of recruiting coordination or equivalent experience in a fast-paced environment

  • Exceptional organizational skills and attention to detail

  • Strong written and verbal communication

  • Demonstrated success in multitasking and coordinating parallel deadlines

  • Professional, responsive, and positive attitude with candidates and colleagues

  • Proficiency with GSuite (Google Docs, Sheets, etc.) and familiarity with ATS platforms (e.g., Ashby)

  • Positive attitude, and a ‘no task too small’ mindset

  • Location: Must be local to the Bay Area — hybrid role (typically 3 days/week in our San Carlos office)

Work Location
This is a hybrid role based in San Carlos, CA, with 3+ days per week onsite and the option to work remotely on remaining days.

Perks & Benefits (Full-Time Employees)

  • Healthcare: 100%* of employee medical premiums covered; 25% for dependents

  • Time Off: 3 weeks PTO plus 13+ paid company holidays

  • Stipends: Monthly phone and wellness benefits

  • 401(k): Offered (no current employer match, but we are committed to enhancing this benefit in the future).

Due to U.S. export control regulations, we can only hire U.S. Persons (U.S. citizens, Green Card holders, lawful permanent residents, or individuals granted asylum or refugee status). We are unable to provide visa sponsorship or support visa transfers. All work must be performed in the United States.
