Project Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Project Coordinator based in the United States.

This role is focused on supporting complex, mission-driven projects within a highly structured and collaborative environment. You will play a key role in coordinating project activities, tracking deliverables, and ensuring alignment across multiple stakeholders working on scientific and public health initiatives. The position involves a strong mix of administrative coordination, documentation, and communication support, with a focus on keeping projects organized, transparent, and on schedule. You will contribute to improving project management practices by helping develop tools, templates, and reporting materials. The environment is detail-oriented and fast-paced, requiring strong organizational skills and the ability to manage competing priorities. A significant part of your impact will come from facilitating communication, capturing key decisions, and ensuring action items are followed through to completion. Accountabilities:

Coordinate and support project and program activities, ensuring meetings, timelines, and deliverables are properly organized and tracked.
Prepare agendas, capture detailed meeting notes, and document decisions and action items for follow-up and execution.
Track risks, issues, and mitigation actions, escalating them appropriately to stakeholders and decision-makers.
Assist in the development and maintenance of project charters, plans, schedules, and supporting documentation.
Facilitate meetings and cross-functional coordination across multiple teams and workstreams.
Manage shared document repositories and support knowledge management and information dissemination.
Support reporting, financial tracking, and preparation of program materials for leadership and stakeholder briefings.

Requirements:

Bachelor’s degree in a relevant field such as business, public health, science, or project management (Master’s preferred).
3+ years of experience in project coordination, program support, or project management roles.
Experience in a federal, healthcare, biomedical, or research-related environment strongly preferred.
Strong understanding of project management principles, tools, and coordination methodologies.
Excellent organizational skills with strong attention to detail and ability to manage multiple priorities.
Strong written and verbal communication skills, particularly in documenting complex information clearly.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and collaborative platforms.
Ability to work effectively with cross-functional and distributed stakeholder groups.
Experience maintaining project documentation, templates, and governance materials is highly valued.
