📍 Location: Arlington, VA (Hybrid; 4 days/week in office)
👥 Team: Procurement
🧭 Reports to: Director of Procurement
💼 Type: Full-time (exempt)
We’re looking for a sharp, curious, and entrepreneurially-minded Procurement Coordinator to join our growing Procurement team. This is a foundational role on a fast-moving team where you’ll help manage the end-to-end flow of materials and equipment that keeps our geothermal installations and distribution operations running on time and on budget.
Our field teams and customers rely on having the right materials in the right place at the right time — and on someone proactively staying on top of every order from purchase through delivery.
This role is a great fit for someone who enjoys building structure, improving processes, and bringing order to operational complexity. We’re especially excited about candidates who see automation, AI, and systems-thinking as practical tools to improve workflows, reduce manual work, and help teams scale more effectively. You’ll have real ownership, visibility, and room to grow as the company scales.
Purchasing — Execute and manage procurement of materials and equipment for geothermal projects and HVAC distribution
Demand Planning — Analyze project schedules to anticipate material needs before they become urgent; stay ahead of the field
Order Tracking & Delivery Coordination — Track open orders from PO to delivery, coordinate logistics to delivery sites, and proactively keep stakeholders informed of status, delays, or changes
Order Dashboard — Own and maintain a real-time, accurate dashboard of all open orders; this is a critical visibility tool for the broader team
Receiving Accuracy — Confirm that deliveries match purchase orders; resolve discrepancies quickly
NetSuite Administration — Keep our NetSuite environment clean and current: PO fulfillment, sales order processing, and inventory management
Process Automation — Identify repetitive, manual tasks in the procurement workflow and build smarter systems — whether that's automations, AI-assisted workflows, or better tooling — to reduce friction and increase reliability
Operationally obsessed — You take pride in things being accurate, on time, and well-organized.
Entrepreneurial — You don't wait to be told what to fix. You see a broken process and you fix it.
AI-fluent — You're actively using AI tools in your work today, not planning to someday. You know how to leverage them to move faster and build better.
A clear communicator — Your stakeholders always know what's happening with their orders. No one is left wondering.
Curious and adaptable — Geothermal is a dynamic, growing industry. You're energized by figuring things out, not slowed down by it.
Collaborative — You work closely with field ops, project management, finance, and logistics teams. You're a team player who makes those relationships easy.
Strong with software systems and operational tools
Demonstrated comfort using AI tools (ChatGPT, Claude, Copilot, etc.) in a professional and/or academic workflow context.
Strong Excel and/or Google Sheets skills
Excellent attention to detail and organizational skills
Ability to manage multiple priorities and stay organized in a fast-paced/changing operational environment
Strong written and verbal communication skills with the ability to proactively communicate updates, risks, and issues
Bachelor's degree or equivalent practical experience in supply chain, operations, business, or a related field
2 years relevant experience in procurement/operations
Experience with NetSuite
Experience with dashboards and/or data tools
