The position serves as a key resource for candidates and internal teams by managing critical pre-employment activities from offer acceptance through onboarding completion.
You will act as a subject matter expert, ensuring processes are accurate, timely, and aligned with organizational standards.
The role combines human resources expertise, operational coordination, and candidate relationship management.
You will collaborate with recruiting, HR, and department stakeholders to create a positive and efficient new hire experience.

Accountabilities:

The Senior Pre-Employment Specialist will oversee the complete pre-employment process, provide guidance to team members, and serve as the primary point of contact for candidates preparing to join the organization. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple onboarding activities while maintaining a high-quality candidate experience.

  • Serve as a subject matter expert and day-to-day resource for pre-employment processes, providing guidance and support to internal team members.
  • Own the candidate onboarding journey from acceptance through start date, ensuring a smooth and welcoming transition.
  • Act as the primary point of contact for new hires, answering questions and providing timely communication throughout the pre-employment process.
  • Communicate important company, department, and role information to candidates before their first day.
  • Ensure accurate and timely completion of onboarding documentation, compliance requirements, and required pre-employment activities.
  • Coordinate and schedule new hire orientation sessions and related onboarding activities.
  • Partner with recruiting, human resources, hiring managers, and other stakeholders to resolve issues and improve onboarding workflows.
  • Identify opportunities to enhance processes, improve efficiency, and strengthen the overall candidate experience.

Requirements:

The ideal candidate brings experience in pre-employment coordination, human resources operations, and candidate support. Success in this role requires strong organizational skills, attention to detail, and the ability to deliver excellent service in a fast-paced environment.

  • Associate degree or certificate in business, human resources, marketing, healthcare, or a related field; equivalent experience may be considered.
  • Minimum of 2 years of experience in pre-employment, onboarding, or related HR operations.
  • Minimum of 2 years of human resources experience, preferably within a healthcare environment.
  • Strong understanding of onboarding processes, documentation requirements, and candidate communications.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills with a customer-focused approach.
  • Ability to build positive relationships with candidates, employees, and internal stakeholders.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work independently while collaborating effectively with cross-functional teams.
