Doyle Electric, Inc. is seeking a dedicated and organized Personal Assistant to support our executive team in Baton Rouge, LA. The ideal candidate will demonstrate exceptional administrative skills and a high level of professionalism. As a Personal Assistant, you will play a critical role in ensuring that daily operations run smoothly and efficiently, allowing our executives to focus on strategic decisions and business growth.
Key Responsibilities:
- Oversee calendar management, appointment scheduling, and meeting coordination for executives, ensuring optimal time utilization.
- Prepare and systematically organize documents, reports, and presentations, ensuring accuracy and compliance with company standards.
- Serve as a liaison between the executive team and both internal and external stakeholders, upholding clear and concise communication.
- Manage travel arrangements, including flight reservations, hotel bookings, and itineraries, while ensuring compliance with budgetary restrictions.
- Assist in the preparation of correspondence and communication, both written and verbal, ensuring professionalism in all engagements.
- Uphold confidentiality and exercise discretion in handling sensitive information.
- Support project management activities, monitor deadlines, and ensure the timely completion of deliverables.
- Perform general office duties such as filing, data entry, and answering phones as needed.
- Continuously explore opportunities to enhance office procedures and improve overall efficiency.
Requirements
- Proven experience as a Personal Assistant or in a similar administrative role, preferably supporting senior management.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills, with a keen attention to detail.
- Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- Ability to handle confidential information with discretion and professionalism.
- Strong interpersonal skills and the ability to work collaboratively with a diverse team.
- Flexibility and adaptability to work in a fast-paced environment, managing multiple priorities and deadlines.
- A degree or equivalent experience in business administration or a related field is preferred.
