We're seeking a meticulous, experienced Payroll Specialist to manage diverse payroll frequencies, multi-state tax setups, benefits, 401(k), compliance filings, and acquisition support in a fully remote, fast-paced environment. Expertise in Paycom, private-equity integrations, and state account setup/close-outs is essential.
Key Responsibilities
· Payroll Operations
- Process bi-weekly, semi-monthly, and monthly payroll runs via Paycom for multi-state entities.
- Handle off-cycle payments, manual adjustments, and payroll corrections with precision.
- Maintain rate changes, benefits, and deductions.
- Manage the payroll inbox, resolving employee issues confidentially and promptly.
State Accounts & Authorizations
- Coordinate the opening and closing of state payroll tax accounts during expansions, acquisitions, or entity changes.
- Submit Power of Attorney (POA) forms to authorize payroll tax filings with relevant state agencies.
- Monitor and maintain state account status, renew POAs, and close accounts when no longer needed.
Acquisition Integrations
- Support HR and Finance with new entity data imports into Paycom.
- Audit payroll system integrations and resolve data discrepancies.
- Ensure multistate compliance during acquisition-related payroll transitions.
· Benefits & 401(k) Administration
- Administer benefit deductions: health, dental, vision, life insurance, and HSAs/FSAs.
- Process 401(k) deferrals, employer matches, loan repayments; assist with plan compliance processes.
- Support annual Form 5500 filing, ACA reporting, and benefits eligibility audits.

Tax, W-2s & Government Filings
- Maintain payroll tax accounts and submit state/local tax registrations and filings.
- Coordinate vendor relationships for tax filing, remittance, and reconciliations.
- Prepare and support year-end W-2 processing, handle corrections, and address employee inquiries.

Audits & Reporting
- Support internal/external payroll, tax, and benefits audits, ensuring documentation accuracy.
- Generate and provide payroll, tax, benefits, and state compliance reports to stakeholders.
- Keep detailed records of payroll activity, state account statuses, and POAs.
Requirements
Qualifications
- Must be located in EST time zone
- Minimum 3 years payroll experience, including multi-state processing
- Must be proficient in Paycom
- Experience with payroll tax account management, POAs, and state agency coordination
- Solid knowledge of benefits deductions, 401(k) administration, and Form 5500 filing
- Familiar with W-2 preparation, ACA compliance, year-end processing, and wage-and-hour laws
- Detail-oriented, confidential, organized, and deadline-driven
- Strong communication and time-management skills - CPP certification is a plus
