About the Production Coordinator Role:

The Production Coordinator audits, coordinates, and schedules incoming client bookings, ensuring shoot success by optimizing production time while balancing client, studio, and team complexities.

We’re seeking a highly capable, detail-obsessed Production Coordinator to join our team part-time. If you have a background in production, operations, or scheduling, this role is made for you. You thrive under pressure, take initiative to keep projects moving forward, and bring order to chaos without missing a beat. You’re driven, resourceful, and approach challenges with a solution-first mindset. You sweat the small stuff. 

This is a part-time position that will report to the Production Coordination Manager.


About soona:

soona is currently supporting a remote work environment for this role; however, we are hiring in these states only: California, Colorado, Illinois, Minnesota, New Jersey, New York, and Texas, with requirements to be able to work in mst / cst time zones.

Requirements

What you’ll do:

  • Coordinate complex productions, managing schedules across multiple projects, time zones, studios, and teams with accuracy and urgency
  • Flawlessly execute essential pre-production tasks with speed and attention to detail, including audits and talent coordination
  • Communicate clearly and consistently with internal and external teams, proactively catching and managing changing shoot needs
  • Seek opportunities to optimize internal schedules and workflows to maximize revenue and ensure client and crew satisfaction
  • Surfaces blockers, flags production concerns, and provides real-time updates to leadership without waiting to be asked

  • Advanced prioritization and decision-making: You are a highly organized individual with the ability to quickly assess changing needs and adjust schedules on the fly.
  • High attention to detail: You excel at finding inconsistencies and errors before they impact the team or client. If you described yourself, the word ‘meticulous’ would ring true.
  • Strong problem-solving mindset: You proactively use critical thinking to resolve conflicts, scheduling issues, and production blockers. You probably love solving puzzles. 
  • Comfort managing complexity: Handling a high volume of data and details across teams and clients comes naturally. You keep calm and thrive under pressure to meet tight deadlines.
  • Clear, fast, professional communication: Managing constant pings from all areas of the business quickly, kindly, and with ease is no sweat for you.
  • Ability and genuine curiosity to build rapport: You have a strong desire to foster key relationships that will drive trust and collaboration.
  • 2-4+ years of experience in production, creative agency, or schedule management highly preferred
  • Tech savvy: Experienced with tools such as Google Calendar, Slack, and AirTable
  • Ability to work MST, CST, and/or PST time zones

Bonus points for:

  • Familiarity with pre and post production workflows
  • An interest in improving start-up systems and streamlining how teams work
