Your Mission:

As an Out-of-Stock Buyer on Inspiration's Fleet Operations team, your mission is to source, negotiate, and secure in-stock dealer vehicles that meet client specifications — on time, on spec, and at or below target cost. You will serve as the frontline expert in dealer network navigation, fleet incentive capture, and purchase documentation, playing a critical role in delivering a seamless vehicle acquisition experience for our clients. You will also support the factory order team with procurement activities, data entry, and vehicle follow-up, helping our operations scale efficiently as client demand grows.


You will report to: Senior Director, Acquisitions 


Key Responsibilities:

Out-of-Stock Buyer - Vehicle Sourcing & Acquisition – 80% of your time will be:

  • Locating and securing in-stock dealer inventory that matches client-required make, model, trim, and option specifications, minimizing substitutions or costly reconfigurations downstream
  • Negotiating dealer purchase prices that protect fleet program margins and stay within client pricing expectations, including managing markups over invoice, holdback, and applicable incentives
  • Leveraging a broad dealer network — including dealer trades and locates — to expand available inventory and secure preferred pricing
  • Ensuring all applicable fleet incentives, fleet program eligibility, and manufacturer allowances are captured on every out-of-stock purchase
  • Coordinating vehicle follow-up and delivery confirmation, and completing all required system updates accurately and on time
  • Maintaining meticulous purchase documentation and ensuring titling, program eligibility, and compliance records are complete for every unit acquired

Factory Order Support – 15% of your time will be:

  • Providing coverage support to the factory order team as needed, including vehicle purchasing, data entry, status updates, and follow-up
  • Assisting with order expediting when needed to meet client timelines and deployment schedules

Data Management & Process Improvement – 5% of your time will be:

  • Maintaining accurate and up-to-date records across procurement databases, vehicle sourcing and purchase logs, delivery tracking systems, and e-file systems to ensure real-time visibility and audit-readiness
  • Analyzing acquisition data to identify pricing trends, sourcing inefficiencies, and cost-saving opportunities, and surfacing actionable insights to support faster cycle times and stronger program margins
  • Supporting continuous improvement by documenting procurement workflows, maintaining SOPs, and recommending process enhancements as the business scales

Who You Are:

  • You have at least 5 years of full-time professional experience purchasing vehicles from dealerships, with a deep understanding of dealer pricing structures, fleet incentives, and acquisition workflows
  • You are organized, detail-oriented, and skilled at managing and prioritizing numerous tasks simultaneously — without letting anything fall through the cracks
  • You have strong problem-solving and critical thinking skills, and you act with urgency when sourcing timelines demand it
  • You have excellent verbal and written communication skills, and can synthesize data into clear, well-structured emails, memos, and reports
  • You are a fast learner who embraces new tools and technology platforms to improve your day-to-day efficiency
  • Experience in fleet management, FMC operations, auction management, or dealership fleet sales is strongly preferred
  • Familiarity with productivity and fleet tools — including the Atlassian suite, BI platforms, and CRMs — is a plus

Salary:  $75,000 – $95,000 + bonus eligible

Location: This role is remote eligible. However, we have an office in Washington, DC. Our in-office team works from our Dupont Circle office Tuesday through Thursday. Remote work on Mondays and Fridays is voluntary, and employees are welcome to work from the office if they'd prefer.
