Purpose/Objective:
Manage a high volume of active projects while serving as a central point of coordination
among team members, clients, and vendor partners. The role focuses on maintaining
project progress, supporting clear communication, and ensuring timely, high-quality
deliverables.
Key Responsibilities:
Client and Project Coordination
- Initiate contact with clients to confirm project scope, expectations, and the timeline required for expert investigation.
- Provide timely project updates and respond to client requests by phone and email.
- Coordinate with a nationwide team of experts across multiple active assignments to meet expectations for deadlines, status updates, quality, and billing.
- Set project priorities and timelines, approve changes and adjustments, and advise MBC on project status and outcomes.
- Lead project meetings and facilitate collaboration among team members.
Documentation, Billing, and Systems
- Format formal documents and correspondence to ensure fonts, styles, pagination, and numbering align with Keystone’s quality-control standards.
- Prepare budgets and invoice templates, compile finalized invoices, reports and transmit completed packages to clients.
- Use Google Workspace, Microsoft Office, XactAnalysis and QuickBase to manage data and track project activity.
- Coordinate with restoration and general contractors to support assessments, cost control, and invoice review.
Qualifications/Experience Required:
- 7–10+ years of administrative experience, preferably in the restoration, insurance, cost consulting, or construction sectors.
- Proficiency in Google Workspace and/or Microsoft Office Suite and specialized platforms such as QuickBase and Xactanlysis.
- Strong organizational and time-management skills suited to a fast-paced environment.
- Excellent communication skills for working effectively with internal teams, clients, and contractors.
- Exceptional attention to detail in data entry, invoice review, and documentation.
- Insurance industry background or related experience preferred.
Communication and Collaboration:
● Excellent written and verbal communication skills, with a strong customer service focus
on client interactions.
● Sound judgment in recognizing when to escalate issues and involve management.
Work Environment and Conditions:
This full-time role requires adaptability, strong organization, and the ability to perform
effectively under pressure in a dynamic insurance and construction assessment environment.
Performance Review and Evaluation:
● Annual performance evaluations, supplemented by progress check-ins as needed.
● Assessment of both ongoing and completed tasks and projects to measure performance
against KPI metrics.
