What You’ll Do
In this role, you will be responsible for:
Own Data Integrity
- Ensure lead and case data from external partners is processed accurately and on time across all systems
- Identify and resolve discrepancies before they impact downstream reporting or decision-making
- Build and maintain quality control standards that the team executes consistently
- Become the internal subject matter expert on how partner data flows — the person everyone calls when something does not add up
Own Partner Operational Support
- Serve as the operational point of contact for assigned referral partners — managing inbound requests, system updates, client inquiries from intake, and anything that just needs to get done
- Ensure each specialist on your team owns a defined portfolio of partner accounts and is the consistent, reliable contact for those partners’ day-to-day operational needs
Lead the Team
- Set clear KPIs for every person, accuracy rate, processing volume, cycle time, response time — and hold the team to them
- Coach consistently, give direct feedback, and develop your people in real time — not just at review time
- Be a player-coach when needed, willing to carry accounts or get into the work alongside the team, not just manage from above
- Evaluate team structure as the function evolves and make clear recommendations on future hiring needs
Communicate and Solve Problems
- Lead with the headline in every communication — situation, what it means, what needs to happen
- Use data to back your positions, when you identify a problem or propose a solution, you show your work
- Take action when async isn’t working, schedule the call, get the people in a room, and close it
- Work directly with IT, Account Managers, Data, and Finance to resolve issues and drive continuous improvement
- Get external partners to give you what you need through clear asks, persistence, and the ability to explain why it matters to them
- Identifying opportunities to improve systems, processes, or outcomes—not just following existing playbooks

How This Role Drives the Business
TopDog Law is a nationally scaling personal injury law firm that partners with law firms across the country to deliver better outcomes for clients. Behind every one of those partnerships is an operational layer that keeps data clean, communication flowing, and nothing falling through the cracks. This role owns that layer.
You will manage a small team responsible for two things: reconciling lead and case data from external law firm partners into our systems, and serving as the operational point of contact for those partners on day-to-day administrative needs. Think of it as the back office that powers the partnership, the function that makes sure everything is accurate, every request gets handled, and every partner has a reliable operational contact they can count on.
You will manage the team, enforce the processes, and be a player-coach when it matters. You are the bridge between your team and the cross-functional stakeholders who depend on your output to do their jobs.

Qualifications
Required:
- 3–5 years in operations, data reconciliation, or a role where data accuracy and partner-facing coordination were core responsibilities
- Experience managing a team, setting KPIs, running accountability conversations, developing people
- Strong analytical skills, comfortable building and auditing data in spreadsheets, identifying patterns, and explaining findings clearly
- Proficiency in CRM or case management systems, you learn new tools quickly and work across systems without friction
- Crisp, headline-first communicator, written and verbal, with data to support every position you take
- Proven ability to drive problems to resolution across teams and with external partners, without formal authority
- Strong communication skills—written and verbal
- Ability to think critically, prioritize effectively, and execute with speed
Nice to Have:
- Experience managing partner or vendor relationships where data handoffs required active coordination
- Background in legal, financial services, or a similar environment
- Exposure to process improvement or systems optimization initiatives
- Experience in a fast-growing or high-volume environment
- Comfort with ambiguity and evolving systems
- Experience in legal, professional services, or client-centric organizations
