The Operations Manager is responsible for overseeing operational activities to analyze and improve program processes, aiming to enhance quality, productivity, and efficiency. Collaborate with the program Leadership Team to achieve operational excellence in line with the program scope. Facilitating communication between clients, internal teams, and external vendors. In conjunction with the Client Account Manager/Director, handle the operational needs of the program including but not limited to the duties and responsibilities listed below

What will you be doing? 

 

  • Plan tasks and prioritize activities to meet agreed-upon program and organizational goals, considering resource needs and scheduling. 

  • Actively pursue operational objectives and program enhancements both internally and in partnership with the client. 

  • Maintain constant communication with management, staff, and clients to ensure proper tactical operation of program requirements. 

  • Escalate concerns and program obstacles in a timely manner to the client account manager/director. 

  • Collaborate with other departments to support cross-functional initiatives and projects. 

  • Represent the program(s) in meetings and communicate effectively with stakeholders at all levels. 

  • Communicate openly with clarity and impact at all levels. 

  • Grow the efficiency of existing program processes and procedures through data analysis and reporting. 

  • Ensure operational activities remain on track and on time while evaluating and problem-solving gaps in efficiencies. 

  • Help create quality improvement programs to increase efficiency and improve service levels. 

  • Develop and implement organizational policies and procedures to ensure compliance and best practices in conjunction with the Client Account Director. 

  • Ensure the timely delivery of all required internal and external reports and their accuracy. 

  • Complete all required administrative tasks in a timely manner within the deadlines required for the program. 

  • Adhere to all company and client policies, procedures, and training requirements. 

  • Manage and oversee the program's CRM functionality and reporting requirements. 

  • Support and track the operational plan and actions for program implementations. 

  • Ensure program technology is working as expected and escalate, advise, or report issues as required. 

  • Develop a deep understanding of how program technology operates/flows from a business perspective. 

  • Identify areas of improvement by working with and listening to the program team members. 

  • Create documented resources, if applicable, to assist new hires and existing team members in navigating the systems. 

  • Protect patient privacy and confidentiality by following HIPAA guidelines. 

  • Ensure all compliance requirements are met as per Client and Inizio Engage requirements 

  • Lead all quality and compliance reporting for the program as mutually agreed between the Client and Inizio Engage for the program 

  • Ensure the program are audit ready through collaboration with the program(s) leadership team 

  • Travel 15% of the time as needed for business purposes. 

 

 

 
What do you need for this position? 

 

 

  • Bachelor’s degree in operations management, business administration, or related field 

  • 3+ years’ proven experience in a program operations position 

  • Project Management Professional (PMP) or other relevant project management certification would be advantageous 

  • Strong process development and oversight skills 

  • Excellent ability to delegate responsibilities while maintaining organizational control of branch operations and client services 

  • Solid communication skills both in writing and verbal. Knowledge of general business software and aptitude to learn new applications; proficiency in Microsoft Office (Word, Excel, Outlook) 

  • Travel 15% of the time as needed for business purposes.
