The Faculty Operations Manager will be pivotal in coordinating ACE’s faculty to support the effective delivery of courses to our students. In this role, you will provide centralized support for faculty operations to streamline and improve efficiency, promote a consistent faculty experience across departments, support faculty engagement, improve faculty communication, and enable Chairs and faculty to focus on strategic priorities.  

Your responsibilities include developing the teaching schedule across each academic term, ensuring optimal faculty utilization, and maintaining appropriate staffing ratios. You will also maintain regular communication with all faculty, track faculty performance, and collaborate with numerous departments across the college to address issues, resolve challenges, and identify opportunities for improvement. With a strong attention to detail and a commitment to meeting deadlines, you will analyze quantitative and qualitative data, manage tasks and projects, and ensure a successful launch of each academic term

Compensation 

ACE is committed to paying a competitive wage while staying true to our mission of maintaining high quality, affordable programs for our students. The starting salary range for this position is $70,000 plus all full-time employees are eligible for an annual bonus. Offers vary depending on education, prior experience, and expertise being applied to the role.

Day to Day Responsibilities 

In this role, you will wear different hats, but your skills will be especially essential in the following areas:   

  • Develop the teaching schedule for full-time and adjunct faculty across each academic term to optimize faculty utilization and ensure appropriate staffing ratios. 
  • Establish and maintain a regular communication calendar for faculty. 
  • Maintain a prioritization system for high-performing faculty. 
  • Assist in monitoring adjunct faculty budgets. 
  • Collaborate with Registration and Records to review and adjust the distribution of students across multiple sections of the same course within the same term. 
  • Manage the identification and assignment of substitute faculty for courses in cases of faculty illness or unavailability. 
  • Enhance and help maintain the Faculty Commons, a space for faculty to access information and share relevant materials. 
  • Partner with organizational development, department chairs, and assistant provosts to communicate training opportunities, support the development of new training programs, and report on training completions. 
  • Support department chairs by monitoring faculty performance data and providing insights and recommendations.  
  • Track faculty overloads and support the processing of paperwork for additional payments. 
  • Standardize faculty operations processes by developing comprehensive documentation and standard operating procedures for implementation. 
  • Drive continuous improvement by monitoring, expanding, and refining ACE processes and policies to enhance operational effectiveness and efficiency. 
  • Respond promptly to student, faculty, or administrative concerns or issues. 
  • Mentor and guide team members, fostering a collaborative and inclusive work environment that promotes professional growth, accountability, and high performance. 
  • Additional duties as assigned. 

Qualifications and Education Requirements

  • A Bachelor's degree is required; a Master's degree is preferred. 
  • Minimum of six (6) years of professional experience, with preference given to individuals with higher education experience in faculty management, course scheduling, or academic operations. 
  • At least three (3) years of experience managing a team. 
  • Proven expertise in higher education operations, knowledge of processes and policies, terminology, and human resource practices. 
  • Strong budget monitoring and financial oversight capabilities. 
  • Advanced communication skills with the ability to compose professional emails to large audiences (e.g., faculty) and effectively collaborate with department chairs to coordinate initiatives. 
  • Exceptional attention to detail, ensuring accuracy and error-free work. 
  • Strong analytical abilities with demonstrated proficiency in Microsoft Excel (e.g., data importing, formula creation, graph generation, and pivot table creation). 
  • Proficiency in Microsoft Office Suite and using other relevant computer systems (e.g., learning management systems, Power BI). 
  • Knowledge of continuous improvement principles and experience in enhancing processes. 
  • Demonstrated ability to adapt to evolving needs, manage multiple projects simultaneously, and work independently to drive initiatives without direct supervision. 
  • Strong commitment to maintaining confidentiality and handling sensitive information with discretion.
