What you will do:
The Executive Business Partner is a proactive, detail-oriented, and globally savvy executive support to Felix Bravo, Managing Director of International Growth at eXp Realty. This role is central to maintaining operational efficiency and effective communication across a fast-paced, international environment. You will act as the first line of support for Felix’s daily activities, communication flow, scheduling, and coordination across multiple time zones.
How you will make an impact:
This role serves as a strategic partner and authorized representative for the Executive Leadership managing complex operational workflows, executing high-stakes communications, and exercising independent judgment to ensure strategic alignment and productivity across the International Team and Operations.
Strategic Communication and Executive Representation
- This category emphasizes acting as an authorized proxy and exercising discretion in communication.
- High-Stakes Correspondence: Draft, edit, and proofread critical executive communications and presentations, often composing responses with little supervision on matters impacting the company's public image, growth metrics, or internal operations.
- Authorized Liaison and Proxy: Act as the executive's authorized liaison and representative in dealing with high-level internal and external third parties, including influential agents, brokerage owners, vendors, and regional leaders.
- Independent Triage and Escalation: Manage and triage executive inboxes and communication channels (Slack, email, chat, voice, text, etc.), independently assessing which issues require immediate executive attention and which can be delegated, resolved, or addressed on the executive's behalf with established discretion.
- Cross-Departmental Communication Bridging: Proactively bridge and coordinate strategic communications between International Corporate Leadership, Country Leaders, Agents, and key external prospects, ensuring messaging consistency and strategic alignment.
Operational Planning and Growth Workflow Management
- Complex Calendar and Commitment Prioritization: Maintain and manage complex, multi-time zone executive calendars, prioritizing competing commitments based on strategic importance and independently determining necessary resource allocation (time, travel) for each meeting.
- End-to-End Global Travel Logistics: Independently orchestrate complex domestic and international travel itineraries, managing all airfare, lodging, and ground transportation while optimizing for multi-city transitions and executive productivity across various time zones.
- Country Expansion Workflow Management: Drive and manage the critical country nomination workflow from submission to final decision, requiring the independent maintenance of documentation, clear cross-functional communication, and ensuring timely execution of each stage of the expansion process.
- Meeting Facilitation and Insight Preparation: Organize, facilitate, and attend high-level operational and growth meetings. Prepare the executive by adding relevant contextual information, pre-reads, and materials to ensure they are fully briefed on key topics and deliverables.
- Post-Meeting Analysis and Action Management: Systematically transcribe meeting notes and utilize tools (e.g., F.E.L.I.X. Twin) for post-meeting insights and tracking. Monitor deadlines and drive execution on key action items across the executive's scope of work, holding stakeholders accountable.
Financial Oversight and Compliance
- Delegated Financial Approvals: Exercise delegated authority to approve certain invoices and review/approve receipt submissions from the executive's direct reports, ensuring timely documentation and compliance with established departmental budgetary guidelines.
- Budget Tracking and Reporting: Assist in managing and monitoring departmental or executive budgets, tracking confidential financial documents, and coordinating closely with Finance/Accounting on expenditure approvals and reporting to ensure financial controls are maintained.
- Expense Management and Documentation: Oversee Airwallex and Wells Fargo receipt management, ensuring accurate and timely submission and compliance with corporate travel and expense policies.
Metrics Tracking and Strategic Support
- Growth Metrics Analysis: Track, maintain, and analyze critical Team metrics, including projected pipeline data. Prepare and present daily, weekly, and monthly growth updates at executive meetings upon request.
- Process Improvement and Solution Development: Proactively identify and develop streamlined solutions and improvements to current processes to track and accelerate eXp Realty’s growth efforts, exercising independent judgment in recommending and implementing operational efficiencies.
- Resource Provisioning and Connection: Provide resources, eXp tools, platforms, and connections to high-profile agents and individuals, leveraging independent judgment to match needs with appropriate corporate resources.
How you will grab our attention:
- Typically requires a minimum of 5 years of related experience with a Bachelor’s degree;
- Fluent in Spanish is preferred, but not required
