The opportunity:
We’re looking for an Executive Business Assistant to support our CCO and the NYC team for 24 hours per week. This role will focus primarily on EBA responsibilities - managing complex calendars, preparing executives for meetings, and liaising with internal and external stakeholders - while also assisting with light office management and event logistics to keep our NYC office running efficiently.
You’ll be a valued member of our People & Culture team (based in Amsterdam) and report directly to the Director of People. You’ll bring a thoughtful, values-driven approach to your work and ensure our patient-centric business focus is always at the heart of what you do. Your contribution will help the NYC team thrive and make a tangible impact on the experience of both employees and patients.
Please note this is a part time position of 24 hours per week and can be spread across 3-4 working days.
What you’ll do in this role:
Provide high impact Executive Business Assistant support to the CCO, managing complex, high volume calendars and preparing executives for meetings and priorities.
Serve as a key coordination hub for internal and external stakeholders, ensuring smooth communication across the NYC office and global teams (including People & Culture in Amsterdam).
Own domestic and international travel planning, including logistics, accommodations, visas, and itineraries.
Support day-to-day NYC office operations, including office supplies, workspace coordination, and light office management.
Plan and execute team events, offsites, and leadership meetings with attention to budget, experience, and operational excellence.
Proactively improve time management, prioritisation, and administrative processes to increase executive efficiency.
Contribute to special projects and initiatives aligned with company priorities and culture, working cross ‑functionally as needed.
Apply a working understanding of clinical trials, Expanded Access, and the broader healthcare landscape to support executives effectively and anticipate context ‑specific needs.
Leverage AI tools to automate routine tasks and identify opportunities to improve operational efficiency.
Qualifications:
3+ years of administrative experience supporting C-level executives.
Experience in a start-up or scale-up environment preferred.
Event planning and office management experience is a plus.
Excellent organizational and communication skills.
Proven ability to prioritize tasks, manage multiple projects, and work efficiently.
Proficient with Microsoft Workspace, Confluence, and Atlassian tools.
Comfortable using AI tools (e.g., Claude, Copilot, automation platforms) to streamline workflows, enhance productivity, and improve communication outputs.
Proven leadership and discretion in handling confidential information.
Ability to work effectively with diverse teams, fostering a supportive and cooperative environment.
Bachelor’s degree in Business Administration, People Operations, or related fields is preferred.

Executive calendars and meetings run seamlessly, with minimal conflicts and strong preparation for leadership.
The CCO feels well supported, focused, and enabled — reflected in strong satisfaction and CNPS feedback.
The NYC office operates smoothly day-to‑day, with positive employee feedback and high engagement.
Travel, events, and office expenses consistently stay within forecasted budgets.
Team events and meetings are well ‑executed, reinforcing company culture and collaboration.
Stakeholders experience clear, timely, and professional communication across teams and time zones.
You’re recognised as a trusted, discreet, and proactive partner who anticipates needs and solves problems before they escalate.
You continuously identify and implement AI-driven improvements that enhance team productivity, reduce manual workload, and modernize ways of working
Compensation:
For this role, the expected base salary range is $60,080 - $73,296 USD (Based on a 24 hour working week). The total compensation package is designed to be competitive and includes base salary, equity, and a full range of benefits and perks. Final compensation will depend on factors such as your skills, experience, qualifications, and location, and will be determined during the interview process.
