First Coast Security is seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will play a critical role in ensuring the efficiency and effectiveness of our operations by managing schedules, communications, and administrative tasks. As an Executive Assistant, you will be the point of contact for internal and external stakeholders, requiring excellent communication skills and the ability to maintain professionalism under pressure. Responsibilities
- Manage executive schedules and coordinate appointments to maximize productivity.
- Prepare and organize meeting agendas, including taking minutes and distributing follow-up action items.
- Draft, review, and send communications on behalf of executives, ensuring clarity and professionalism.
- Conduct research and compile reports to assist executives in informed decision-making.
- Maintain organized files and documentation, both digital and physical, ensuring easy access and confidentiality.
- Coordinate travel arrangements, including itineraries and accommodations, for executives and staff as needed.
- Assist in project management tasks, tracking progress, deadlines, and deliverables for various initiatives.
Requirements
- Proven experience as an executive assistant or similar role, preferably in the security industry.
- Exceptional organizational and time management skills with a keen attention to detail.
- Strong written and verbal communication skills, able to interact effectively with stakeholders at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
- Ability to handle sensitive information with discretion and maintain confidentiality at all times.
- Excellent problem-solving skills, with the capacity to work independently and make sound decisions.
