We are seeking a highly organized and proactive Executive Admin to support a four-person executive team in a fast-paced, innovative environment. In this role, you will be the trusted partner for senior leaders, helping them manage schedules, streamline communications, and execute strategic priorities. You will handle both professional and personal administrative tasks, conduct research, and provide data-driven recommendations. The position offers opportunities to contribute to company operations beyond administrative duties, including process improvement, event planning, and system implementation. This role is fully remote in the United States, with optional in-person collaboration in the Bay Area. The ideal candidate thrives on problem-solving, excels at time management, and enjoys supporting visionary leaders.

Accountabilities

  • Manage executive calendars, schedule meetings, resolve conflicts, and ensure smooth day-to-day operations.
  • Serve as the primary point of contact for administrative and operational needs of the executive team.
  • Create, edit, and polish communications, presentations, and internal documents for clarity and accuracy.
  • Conduct research on vendors, tools, or special projects to provide actionable recommendations.
  • Support personal and household logistics for executives as needed, including appointments, gift sourcing, and coordination.
  • Contribute to company operations initiatives based on interests and skills, such as event planning, social media, or standardizing internal processes.

Requirements

  • Minimum of 4 years’ experience as an executive assistant or in a similar support role.
  • Exceptional organizational and time management skills, with the ability to manage multiple priorities simultaneously.
  • Strong problem-solving skills and the ability to proactively identify solutions.
  • Experience working in startup or fast-paced environments.
  • Excellent communication and interpersonal skills.
  • Comfortable managing both professional and personal administrative tasks.
  • Detail-oriented and capable of delivering high-quality work with minimal supervision.
