About Effective AI

At Effective AI, we're building the future of work. We believe the real frontier for AI is not simple, repetitive tasks, but complex knowledge work that demands expertise and multi-step reasoning. That's why we're building sophisticated AI Teammates designed to master complex workflows and collaborate with human experts. We're starting by tackling the trillion-dollar U.S. Property & Casualty insurance market, a space with intricate processes and a rich data environment perfect for this challenge.

We’ve raised $10 million in seed funding from Lightspeed Ventures & Valor Equity Partners.

What You'll Do

  • Conference & Side-Event Execution: Lead end-to-end logistics for 5–10 major insurance industry conferences annually, including booth management, curated side-events, and high-impact executive dinners.

  • Booth & Asset Logistics: Partner with internal designers to produce high-quality assets and ensure all booth materials and swag are shipped, set up, and returned seamlessly.

  • Executive Hospitality: Identify and secure premier venues for client reservations and executive dinners designed to drive brand visibility and lead generation.

  • Comprehensive Vendor Management: Identify, vet, and negotiate contracts with printers, caterers, swag providers, and local event partners to build a reliable operational foundation.

  • Budget & Stakeholder Coordination: Act as the primary bridge between Founding Sales, Designers, and the CEO, providing detailed budget reporting and ensuring event goals align with growth targets.

  • AI-Native Operations: Leverage AI tools and agents to streamline event copy, automate attendee outreach, and improve overall operational efficiency.

Who You Are

  • Experienced Operator: You have 4+ years of experience in event operations and logistics, with a proven track record of managing physical booth setups at large-scale conferences.

  • Skilled Negotiator: You possess strong contract negotiation skills and the ability to manage complex deliverables across multiple external partners and internal stakeholders.

  • Proactive Communicator: You communicate clearly and proactively with cross-functional partners, including leadership and design teams, to keep projects on track.

  • Hyper-Organized & Detail-Oriented: You anticipate potential "points of failure" and always have a Plan B ready; you thrive on managing the fine details of logistics.

  • Adaptable & Reliable: You are comfortable with a flexible workload (40–60 hours/month during event cycles) and can drive projects forward independently in a remote environment.
