Job Title: C-Suite Administrative Support
Location: Remote (Northen VA area)
Reports To: Chief Executive Officer
Job Summary:
The C-Suite Administrative Support role provides high-level administrative and operational support to the Chief Executive Officer (CEO) and other C-suite executives. This position ensures seamless day-to-day operations by managing schedules, communications, and confidential projects with discretion and professionalism. The ideal candidate is highly organized, proactive, and adept at handling multiple tasks in a fast-paced corporate environment.
Key Responsibilities:
- Calendar & Schedule Management: Efficiently manage and coordinate executive schedules, including meetings, travel arrangements, and appointments.
- Communication Management: Serve as a primary point of contact for internal and external stakeholders, managing correspondence, emails, and calls with professionalism.
- Meeting Coordination: Prepare agendas, take minutes, and follow up on action items for executive meetings, board meetings, and other critical engagements.
- Document & Presentation Preparation: Draft, edit, and format reports, presentations, and other executive-level materials.
- Confidentiality & Discretion: Handle sensitive information with the highest level of confidentiality and discretion.
- Project Management: Assist in the execution of key business initiatives and special projects, ensuring deadlines and objectives are met.
- Office & Event Coordination: Plan and execute corporate events, team-building activities, and off-site meetings as needed.
- Expense & Budget Management: Oversee executive expense reports and budget tracking to ensure accuracy and compliance with company policies.
- Relationship Management: Build strong relationships with internal teams and external partners to facilitate smooth operations and communication.
Qualifications & Requirements:- Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Experience: Minimum of 5+ years of experience in an executive administrative support role, preferably in a corporate or high-profile environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), project management tools, and video conferencing platforms.
- Strong Organizational Skills: Ability to multitask, prioritize, and meet deadlines in a fast-paced setting.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally at all levels.
- Problem-Solving Ability: Proactive approach to troubleshooting and decision-making.
- Flexibility: Willingness to adapt to changing priorities and work outside standard business hours when necessary.
