Job Description

BryceTech is currently looking for a Executive Assistant to support BARDA's mission in enhancing the nation's public health security and emergency preparedness by facilitating communication on innovative products and solutions between federal agencies and public stakeholders. This individual will support the Director and ensure the smooth operation of the office.

An executive assistant is greatly needed to support the DRIVe front office and future DRIVe Director.  There is a need to have an individual that can support administrative actions for the Director, including but not limited to, maintaining Division and Director calendars, scheduling calendar items, coordinating DRIVe events and meetings, assisting with travel, etc.  There may also be opportunity to assist with program management of DRIVe-wide tasks including but not limited to routing of comms packages, coordinating DRIVe wide retreats/workshops, entering data, updating trackers, capturing meeting notes and preparing meeting agendas, and tracking action items.

The person in this role will: 

  • Proactively manage various tasks at the operations level to include data input and tracking, meeting notetaking, tracking subsequent actions, and managing calendar of DRIVe director.
  • Update reports and trackers with input from various sources using SharePoint, MS Teams, and other tools.
  • Coordinate stakeholder schedules to set up meetings, conferences, or other events.
  • Coordinate the activities required to meet stakeholder and Director goals and objectives.
  • Assess current business processes and procedures and develop improvement strategies to increase efficiencies across multiple work streams.
  • Coordinate and integrate activities as needed amongst senior staff, stakeholders, interagency partners, and user communities.
  • Support the DRIVe Director with management of calendar, travel, coordination of meetings across BARDA and with other stakeholders, etc.
  • Work with team to be able to gather and synthesize information in support of the Division Director.               

Qualifications

  • 3-5 years of professional and relevant experience, such as Business Process Improvement, Administrative Operations, Business Analytics, Data Management, or Executive Support
  • Expertise with MS Office software, including MS Teams, SharePoint, Lists, Forms, Power BI, etc. Ability to develop presentations, briefings, graphs, and other office documentation.
  • Excellent written and verbal communication skills including experience communicating processes and technical information through unstructured verbal interactions, briefing decks, and meeting moderation.
  • Ability to respond to quick turnaround requests and handle multiple priorities at once.
  • Ability to work independently yet well-integrated into a team.
  • Project management experience: Project Management Professional (PMP) certification or equivalent beneficial.
  • B.S. in a life science or technology area beneficial.
  • Prior experience with the hands-on development of business process tools and trackers.
  • Travel required up to 20%.
