Overview

The Associate Director, Proposals and Contracts has accountability for all proposal and contract activities at the company, oversight of all proposals and contracts staff, and ownership of all proposals and contracts processes. The Associate Director, Proposals and Contracts works closely with business development, operational teams, SMEs, and functional areas to develop and deliver winning, high-quality proposals for the company’s key strategic bid initiatives.


Responsibilities

  • Managing all contracts and proposals staff
  • Owning of all contracts and proposals processes
  • Owning all contracts and proposals data and tools including the budget calculator
  • Oversee the production of all proposals and clinical contracts including budgets throughout the project lifecycle; owning deliverables as needed
  • Participating in senior leadership meetings and associated initiatives.
  • Leading the RFP response process in all stages, including coordination with partners/vendors, internal team review meetings, development of proposal strategy and management of process and all associated requests.
  • Serve as primary contact for the internal team during contract preparation / amendment.
  • Managing deliverable schedules and managing multiple deadlines with tight timelines.
  • Collaborating with subject matter experts to understand the processes, business needs, and other contextual details to elicit the appropriate information needed to compose high-quality proposals.
  • Support the sales function with proposals, contracts and reporting.
  • Support hiring and training of new team members as needed.​
  • Procure approved vendor budgets for pending proposals.
  • Ensure accurate entry of proposal and contracts data in salesforce.com​.
  • Support project teams during contract negotiations (internal and external discussions).
  • Accountabilities:
    • Timely delivery of quality contracts and proposals​
    • Individual development of budgets for high-level estimates and proposals.​
    • Proposals and change order tracking, negotiation, documentation, and finalization​
    • Ongoing training on best practices in change orders, contracting, and cycle time optimization​
    • Approved Vendor Budgets and Contracts


Requirements

Education:

  • Bachelor’s degree Required.


Experience:

  • Minimum of 7 years of CRO experience in proposals and/or contracts including experience in implementing budget revisions and preparing CO budgets.
  • Experience with Project Finance or Cost Accounting  is a plus.


Skills:

  • Knowledge of CRO proposal and contracting principles and best practices.
  • Comprehensive knowledge of relevant software (Windows, Word, Excel, Outlook, Salesforce, SharePoint).
  • Highly organized with attention to detail and independent workload management.
  • Ability to lead internal/external meetings with senior executives.
  • Excellent oral and written communication skills, analytical and problem-solving skills and negotiation skills.
  • Ability to multitask and prioritize demands to meet deadlines in a dynamic, fast-paced environment.
  • Contribute to team efforts for continuous process improvements​.


Physical Requirements

Position requires: ordinary ambulatory skills and physical coordination sufficient to move about conference or meeting locations as required; ability to stand, walk, stoop, kneel, crouch periodically for prolonged periods of time; manipulation (lift, carry, move) of light to medium weights of 10-35 pounds; arm, hand and finger dexterity, including ability to grasp and type for prolonged periods of time; visual acuity to use a keyboard, computer monitor, operate equipment, and read materials for prolonged periods of time; ability to sit, reach with hands and arms, talk, and hear for prolonged periods of time.
