InSpectre Solutions Inc is looking for an Administrative Assistant to assist the Human Resources department. This role will provide critical support services to the Human Resources department and will be responsible for communicating with local and international staff.
What you'll do
- Provides direct administrative support to HR leadership, including calendar management, meeting coordination, and general scheduling tasks.
- Owns the task tracking system on behalf of the HR team, creating, updating, and organizing tasks, and maintaining related notes and documentation.
- Attends meetings with or on behalf of HR leaders and captures clear, detailed notes, following up on action items as needed.
- Handles a variety of administrative duties to support the HR department, such as document organization, basic data entry, and compiling reports prepared by HR staff.
- Maintains organized filing systems for confidential HR records and documents, ensuring proper storage of sensitive materials such as employee changes, performance reviews, and compliance records.
- Assists in preparing internal communication drafts, based on guidance from HR leadership, to ensure timely and professional distribution of updates.
- Supports logistics and coordination for HR-led initiatives and events, such as team meetings, engagement activities, employee recognition, and trainings.
- Familiarizes themselves with company policies and procedures to provide general administrative support and route employee questions to the appropriate HR contact.
- Maintains discretion and confidentiality when handling sensitive or private information.
- Performs additional administrative duties as assigned to support the needs of HR leadership and the overall department.

Qualifications
- High School Diploma (Required)
- Associate’s degree (Preferred)
- 2+ years administrative assistant experience (Required)
- Human Resources related experience (Preferred)
- Proficient in MS Office
- Excellent written and verbal communication skills
- Multi-tasking skills
- Good judgement, discretion, and ability to make timely decisions
- Able to build and foster relationships with employees at all levels
- Highly organized with outstanding follow-up skills to ensure deadlines are met
- Excellent active listening and presentation skills
